Exporting contacts from Outlook is a good way to back them up externally. This can be done in just a few steps.

There are many reasons for exporting Outlook contacts: you may want to access a new email program or you may want to store the data externally for security reasons. Exporting the contacts only takes a few minutes and can be done with a few clicks within the email program. You will then find the data in your downloads.

Exporting contacts from Outlook is basically very easy – however, there may be changes in the newer versions of Outlook. To export contacts in classic Outlook, simply follow these steps:

Once the export is complete, this will no longer be indicated by a new field. However, the download field will close.

Exporting contacts can vary slightly depending on the version of Outlook. In Windows, you can tell whether you are using the new or classic Outlook by the icon. If your Outlook icon contains the word “new” or “new”, you have the new version.

On Apple macOS, click on “Outlook” in the menu bar (next to the Apple symbol) and then on “About”. This will show you whether you are using the 2011 or 2016 version. If neither year is listed, you are using the latest version as part of your 365 subscription. On the iPhone, select “Settings” in the menu and then “Help and Feedback”. You will find the version listed at the bottom of the page.

A notice: There is currently only one version for Android mobile devices, so there shouldn’t be any major differences.

If you want to export your contacts in the new Outlook, first select the “People” tab. Then click on “Start”, “Manage Contacts” and “Export Contacts”. A “Contacts from this folder” field will appear. There you can select the relevant contacts and confirm with “Export”. The exported contacts are automatically saved as a .CVS file in the “Downloads” folder.

With Outlook you generally have the option of exporting other data such as emails, calendars, etc. To do this, start with the first steps as above and after “Import/Export” simply select the respective file and the desired format. This way you can save all your Outlook data for the long term.
