SUPERVISOR: Country Director

SPECIFIC TASKS AND RESPONSIBILITIES

Under the direct supervision of the Country Director, the Program Assistant will contribute to the efficient delivery of projects executed by Jhpiego. He/She will work closely with the Finance and Administration team, with program colleagues at the Conakry office level and at the regional level to contribute to the correct implementation of programmatic activities and ensure the supply in goods and services for operations and the various projects. He/she will take care of the preparation, the appropriate documentation of programmatic activities and procurement while respecting the rules and procedures of the donors on the one hand and those of Jhpiego on the other hand.

SPECIFIC TASKS

He/she will be responsible for:

Programme

Monitor with Administration and Finance the validation of all activity projects and budgets introduced by the Technical Advisers. Support the technical and logistical organization of workshops, seminars and meetings by the Technical Advisers at the Conakry office and at the regional coordination level. Ensure the correct archiving of activity reports, project documents and any other programmatic document Support the program in the transmission of documents and information between the Project and the Ministry of Health and other field partnersPrepare briefing materials for use in the Country Director’s official trips or special meetingsSchedule appointments and maintain the Country Director’s schedulesManage office petty cashFollow documents for signatures at the level of the DirectionPerform any other specific task at the request of the Supervisor

Supply :

Ensure timely acquisition of materials and services needed for in-country activities. Ensure that all procurements comply with USAID procedures, other donors, and Jhpiego standard practices calls for tenders and contracts Organize the analysis of tenders, Carefully review the documentation relating to calls for tenders and contracts for compliance with quality-price as well as the delivery time Prepare and maintain precise files and documents on all solicitations, responses, purchase orders, contracts, correspondence and all other related documents Track orders in progress to ensure that delivery requirements are met Keep a register of suppliers and maintain data concerning goods and services. Collaborate with hotels, local non-governmental organizations, the Ministry of Health, staff and consultants to ensure all necessary logistical support for workshops, trainings or other activities in the country with the support of the finance department ( including rental of premises and audiovisual equipment, delivery of materials, etc.).

Qualifications, skills and abilities required

University degree in Business Administration, management, finance or other administrative qualificationsHave at least 3 years of experience in the field, presence in a program funded by an international donorExcellent skills in oral and written communicationSkills in the use computer skills including Excel, Word, PowerPoint and Outlook software as well as the use of the Internet for information research Willingness to learn the technical aspects of programs and interventions Able to work in a complex environment with pressures and requirements of cost deadlines and for good performance Ability to maintain confidentiality Comfortable with a teamwork approach and the demands of managing several activities at the same time Can take initiative, organize own work and encourage others to do the same Skills effective communication with senior management, suppliers, technical staff as well as personnel
