Copilot is an artificial intelligence tool integrated into Microsoft 365 and designed to boost user productivity when using its applications. Copilot can be used across the entire Microsoft Office suite, including Word, Excel, OneNote, PowerPoint, and Teams, among others.

Copilot aims to change the way people work by leveraging AI to complete a wide variety of processes, such as creating documents, putting together presentations, or summarizing emails that would otherwise take longer.

In other words, Copilot helps users increase their productivity and use their time more efficiently.

If you worked with Microsoft Office in the late 1990s and early 2000s, you probably remember Clippy, the popular and friendly animated helper designed to help you perform different tasks.

Well, broadly speaking, you could say that Copilot is the accelerated evolution of this next-generation AI-powered virtual assistant.

This is how Copilot works

Copilot works by combining a natural language model (LLM) known as GPT-4 with Microsoft software and its content (documents, contacts, chats, calendar, emails, etc.). It leverages GPT Chat technology (which analyzes, understands, and generates human-readable text) and Microsoft Graph data.

Microsoft Graph is the API (application programming interface) development platform that connects different cloud services and devices, allowing users to collaborate and share data.

Unlike other LLMs that rely on generic data from the Internet, Copilot uses its own data retrieved through Microsoft Graph to make the results relevant to the user.

For example, if you ask Copilot to compose an email to your team updating them on the status of a specific project, the tool will consult information from your previous stored emails, chats, and documents to create a coherent message that includes the most important information.

Copilot works in a simple way. When a user asks Copilot’s chatbot a question while working in an app—for example, Word—it sends the data to Microsoft Graph, which analyzes and makes sense of the query.

The data is then sent to the Chat GPT language model which generates a response and sends it back to Microsoft Graph for verification to ensure that it is as personalized as possible. Finally, Copilot displays the response to the user within the app.

You need a Microsoft 365 subscription to access Copilot. As we’ve seen, this new AI tool is integrated with Microsoft 365 apps, meaning users can start using it right away without having to download it separately.

To use Microsoft 365 Copilot, you simply need to activate the assistant within any of the integrated Office applications. Just look for the Copilot icon in the menu of the Microsoft software you work with and select it.

Once the assistant is active, the chatbot appears as a sidebar in the app. It works as a chatbot, very similar to Bing or GPT Chat.

To interact with it, you just need to enter a message and Copilot will automatically generate a response according to the command given in natural language.

The secret to getting the most out of Copilot’s AI is the input you give the tool and the experience you bring to the table.

It is important to introduce clear, precise and direct instructions to guide the results that AI produces. Without properly guided instructions, even the most powerful AI would be unable to provide the expected results.

You should know that this tool is not infallible and can make mistakes. Therefore, you should always review the work it delivers to you.

Remember that your personal judgment and professional experience are the sieve to ensure good work.
